Media Services strongly encourages students to check out only the equipment they are responsible for on set. This ensures proper care is taken within each department and protects students from being fined for equipment they did not damage or lose.

Responsibility for Equipment

Once equipment is checked out under your name, you are fully responsible for its care, safe operation, and timely return.

Students are encouraged to inspect all items before use to ensure they are in good condition. This helps to prevent being held responsible for pre-existing damage or loss.

Any equipment not returned on time, damaged, or lost will result in fines or replacement charges as outlined below.

Late Returns

• You will receive reminder emails from our booking system, via the email rul.kitbookings@regents.ac.uk, notifying you of upcoming due dates.
• If your booking becomes overdue, you will receive an email indicating that your item(s) are one day late.
• A fine of £1 per day, per item, will be applied starting 24 hours after the due date.
• Fines will accrue for up to 5 days, after which your SmartHub account will be blocked.
• You will not be able to borrow equipment until all overdue items are returned, and fines are paid.
• If equipment is not returned within 30 days, it will be considered lost, and you will be charged the full replacement cost.

Late Damaged or Lost Equipment

• If an item is damaged or reported lost, you will be charged the full replacement cost.
• In cases of partial damage or missing parts, Media Services will determine the replacement cost of the specific component(s), and you will be charged accordingly.
